Study Finds Email Archive in The Cloud Is More Cost-Effective Than On-Premise Infrastructure

When it comes to email archive solutions, one thing companies do not always have a clear idea of is cost. But that is about to change with a new study published by Osterman Research and Actiance. The report, “Assessing the Total Cost of Ownership for Veritas Enterprise Vault” has plenty of insights—some of which may surprise executives—that can guide companies in decision-making, particularly choosing between spending on on-premise infrastructure or archiving in the cloud for email archive requirements.

The Cost-Effective Path

The report studied 73 organizations that had an on-premise deployment of Enterprise Vault, with a median of 50 terabytes of storage. On average, these organizations had an average of 14,244 employees. With such a large workforce, it’s expected that a large storage capacity is needed, and the Osterman Research and Actiance study confirms that. They found that on average companies are storing 35 GB per email archive user — this figure sheds light on the costs of the common practice of companies to store everything forever. An average of 35 GB per email archive user adds up to $447,000 or $8,950 per TB in total annual costs.

Another major cost driver the study considered is system replication. In the study, 54% of the subjects reported that the cost of replication is equal to or even exceeds the primary EV environment. As it’s critical for the data archiving system to replicate the data for automated recovery purposes, it goes without saying that companies cannot forego this expense.

All factors considered, comparing on-premise EV systems and email archive in the cloud, the study finds that the total cost of ownership of the latter can be reduced by as much as 50% or more. This is because the costs of storage, including hardware, software, and replication, are spread among clients. As such, the choice between email archive in the cloud and procuring an on-premise infrastructure such as the EV system appears obvious.
